Who Controls Your Personal Data<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">IBTEKAR HOUSE provides the technical platform used to operate the Service.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In many cases, the organization that employs you or has provided your account determines why and how your employment-related personal data is processed. Users generally do not create independent public accounts through the application.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">2.2 Attendance and Working-Time Information<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">When attendance functionality is enabled, we may process:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Check-in date and time<\/li>\n\n\n\n<li>Check-out date and time<\/li>\n\n\n\n<li>Working duration<\/li>\n\n\n\n<li>Break start and end times<\/li>\n\n\n\n<li>Attendance status<\/li>\n\n\n\n<li>Attendance method<\/li>\n\n\n\n<li>Work location<\/li>\n\n\n\n<li>Time zone<\/li>\n\n\n\n<li>Attendance history<\/li>\n\n\n\n<li>Related approval or correction information<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">2.3 Location Information<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">When your organization enables location-based attendance, the application may request access to your device location when you perform an attendance action such as check-in or check-out.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Location information may be used to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Determine whether you are within an authorized work-location radius<\/li>\n\n\n\n<li>Validate attendance transactions<\/li>\n\n\n\n<li>Prevent unauthorized or inaccurate attendance submissions<\/li>\n\n\n\n<li>Record the location associated with an attendance action<\/li>\n\n\n\n<li>Support attendance review and dispute resolution<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">The application is not intended to continuously monitor your location. Location is accessed only when required for an enabled, user-initiated attendance function, subject to the permissions and technical configuration of your device.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You may deny location access through your device settings. However, location-dependent attendance functions may then be unavailable.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">2.4 Human Resources and Employment Information<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Depending on the modules enabled by your organization, we may process:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Employee profile information<\/li>\n\n\n\n<li>Department and job information<\/li>\n\n\n\n<li>Employment status<\/li>\n\n\n\n<li>Work schedule and working-hours policy<\/li>\n\n\n\n<li>Leave balances and leave requests<\/li>\n\n\n\n<li>Leave dates, types, reasons, and approval status<\/li>\n\n\n\n<li>Loan requests and loan-related information<\/li>\n\n\n\n<li>Approved loan amounts, repayment periods, installments, and balances<\/li>\n\n\n\n<li>Employee requests, forms, notes, and supporting information<\/li>\n\n\n\n<li>Manager approvals and rejection reasons<\/li>\n\n\n\n<li>Payroll type<\/li>\n\n\n\n<li>Salary information and salary-line details<\/li>\n\n\n\n<li>Active-loan summaries<\/li>\n\n\n\n<li>Team and reporting-line information<\/li>\n\n\n\n<li>Other employment-related records entered by the employer or authorized users<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">The application does not independently determine employment, payroll, leave, or loan decisions. These decisions are made by the relevant employer and its authorized personnel.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">2.5 Photographs, Camera, and Files<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">The Service may allow an authorized user to upload or update an employee profile photograph.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Where enabled, the application may request access to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The device camera<\/li>\n\n\n\n<li>The photo library<\/li>\n\n\n\n<li>Selected files or documents<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">These permissions are used only when the user chooses to capture or upload permitted content. Data Retention<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Personal data is retained only for as long as reasonably necessary for:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Employment and HR administration<\/li>\n\n\n\n<li>Attendance, payroll, leave, loan, and request management<\/li>\n\n\n\n<li>The duration of the customer\u2019s use of the Service<\/li>\n\n\n\n<li>Contractual and operational requirements<\/li>\n\n\n\n<li>Legal, tax, accounting, audit, and regulatory obligations<\/li>\n\n\n\n<li>Security investigations and dispute resolution<\/li>\n\n\n\n<li>Establishing, exercising, or defending legal claims<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Retention periods may be determined by the employer, applicable laws, and the type of record involved.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">When information is no longer required, it may be deleted, anonymized, or securely archived in accordance with applicable requirements.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">8. Device Permissions<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The application may request the following device permissions depending on enabled features:<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Location<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Used for authorized location-based attendance and work-location validation.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Camera<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Used when a user chooses to capture a permitted profile image or supporting image.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Photos or Media<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Used when a user chooses to select and upload an image or permitted file.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Notifications<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Used to provide relevant service, request, approval, attendance, or account notifications where implemented and enabled.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Users may manage permissions through their device settings. Disabling a permission may limit related functionality.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">12. Automated Decision-Making<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The Service may automatically perform calculations or validations, such as:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Determining whether an attendance action is within an authorized radius<\/li>\n\n\n\n<li>Calculating working duration<\/li>\n\n\n\n<li>Displaying balances, totals, or request statuses<\/li>\n\n\n\n<li>Applying configured role and permission rules<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">The Service is not intended to make independent final decisions regarding employment, termination, salary, disciplinary action, leave approval, or loan approval. Such decisions remain the responsibility of the employer and its authorized representatives.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">13. Children\u2019s Privacy<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The Service is a workplace and business application and is not designed for children.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We do not knowingly provide the Service directly to children or knowingly collect children\u2019s personal data for consumer purposes.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">14.
